Executive Legal Assistant - Midtown Manhattan
Salary: $90-$110,000+ DOE
Our top 100 law firm client is seeking an exceptional Executive Assistant to support a high-profile recognized trial attorney and Co-Chair Managing Partner in its New York office. This is a highly visible, fast-paced role supporting one of the firm’s senior leaders who maintains an extremely active litigation practice while also overseeing firm management responsibilities. The ideal candidate is polished, proactive, detail-oriented, and thrives in a demanding environment where discretion, responsiveness, and organization are absolutely critical. This position requires a true right-hand Executive Assistant who can anticipate needs, manage competing priorities, and operate independently with professionalism and sound judgment.
Responsibilities Include:
- Heavy executive calendar management across multiple time zones and global travel schedules
- Coordinating complex meetings, internal leadership calls, client meetings, trial schedules, and business development events
- Managing extensive domestic and international travel arrangements, itineraries, and last-minute changes
- Serving as gatekeeper and primary point of contact for internal and external communications
- Monitoring and managing high-volume email traffic and urgent communications while executive is traveling or out of office
- Preparing, editing, proofreading, and formatting correspondence, presentations, legal and business documents
- Coordinating billing matters, invoices, expense reports, and attorney time entry
- Assisting with preparation of engagement letters and client-related administrative documentation
- Maintaining confidential and highly sensitive information with absolute discretion
- Liaising regularly with firm leadership, attorneys, clients, opposing counsel, vendors, and senior administrative personnel
- Working closely with executive support staff supporting other senior firm leadership to ensure seamless coordination
- Handling occasional personal administrative tasks and executive support responsibilities
- Anticipating issues before they arise and proactively creating solutions in a high-pressure environment
Qualifications:
- Prior Executive Assistant experience supporting senior law firm leadership, managing partners, high-level litigators, within a law firm environment is required
- Exceptional organizational and multitasking skills with meticulous attention to detail
- Strong written and verbal communication skills
- Ability to prioritize and manage constantly shifting demands with professionalism and composure
- High level of responsiveness and flexibility, including occasional after-hours availability when executive is traveling
- Experience with billing, attorney time entry, expense management, and legal administrative procedures
- Advanced proficiency in Microsoft Office Suite, Outlook calendaring, and legal administrative systems
