Legal Administrative Assistant – Litigation
We are seeking an experienced Legal Administrative Assistant to provide high-level support to a busy litigation team. The ideal candidate has a strong background in litigation support, extensive experience with New York court filings, and excels in a fast-paced legal environment. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple deadlines while delivering outstanding client service.
Key Responsibilities
- Provide comprehensive administrative and litigation support to attorneys throughout all phases of litigation.
- Draft, edit, format, proofread, and finalize legal documents, including pleadings, motions, discovery requests and responses, correspondence, and court filings.
- Prepare and submit electronic filings through NYSCEF, CM/ECF, and other applicable federal and state court filing systems.
- Maintain organized electronic and physical case files, ensuring documents are accurate, current, and easily accessible.
- Track litigation deadlines, court appearances, hearings, depositions, and other key dates while proactively managing attorney calendars.
- Coordinate meetings, depositions, mediations, conference calls, travel arrangements, and other case-related logistics.
- Communicate professionally with clients, court personnel, opposing counsel, vendors, and internal team members.
- Assist with new matter intake, conflict checks, engagement documentation, and file setup.
- Support trial preparation by organizing exhibits, witness materials, binders, and other case documents.
- Process expense reports, invoices, and additional administrative tasks as needed.
- Handle confidential information with professionalism and discretion.
Qualifications
- Minimum of 5 years of legal administrative experience in a law firm or professional services setting.
- Previous litigation experience is required; commercial litigation experience is preferred.
- Hands-on experience with NYSCEF, CM/ECF, and electronic court filing procedures.
- Excellent organizational, prioritization, and time management skills with the ability to work under tight deadlines.
- Strong proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint, along with legal document management and time-entry software.
- Outstanding proofreading, document formatting, and editing skills with exceptional attention to detail.
- Strong written and verbal communication skills and a client-focused approach.
- Ability to work independently while collaborating effectively within a team environment.
- Demonstrated professionalism, sound judgment, and commitment to maintaining confidentiality.
