We are looking for a detail-oriented Legal Administrative Assistant to support the daily operations of a dynamic legal office in San Jose, California. This role involves managing administrative tasks, ensuring smooth communication, and maintaining organized workflows. The ideal candidate will bring exceptional organizational skills and a proactive approach to problem-solving.
Responsibilities:
• Handle incoming calls with professionalism, addressing inquiries and directing them appropriately.
• Perform data entry tasks to maintain accurate and up-to-date records.
• Manage receptionist duties, including greeting visitors and ensuring a welcoming office environment.
• Process invoices and ensure timely payment of bills.
• Organize and maintain office files, ensuring easy access to important documents.
• Provide administrative support to legal staff, including scheduling meetings and appointments.
• Coordinate office supplies and ensure inventory is adequately stocked.
• Assist in drafting correspondence and reports as needed.
• Maintain confidentiality while handling sensitive legal documents and information.
• Collaborate with team members to streamline office procedures and workflows.
• Minimum of 1 year of experience in an administrative support role.
• Strong organizational skills with the ability to manage multiple tasks efficiently.
• Excellent phone etiquette and communication skills.
• Proficiency in data entry and maintaining accurate records.
• Familiarity with invoice payment processes and basic accounting procedures.
• Ability to perform receptionist duties with attention to detail and in a welcoming manner.
• High level of discretion when handling confidential information.
• Proficiency in office software, including word processing and spreadsheet tools.
