Job Description:
This role offers an exciting opportunity to support and strengthen the work of the Intake team at Job Duck. In this position, you will assist the current intake specialist by managing key administrative functions, coordinating follow-up calls, and ensuring smooth communication across teams. You will play a central role in gathering client feedback, maintaining accurate records, and supporting referral coordination to keep processes running efficiently. This position is ideal for someone who enjoys structured work, thrives in fast-paced environments, and is comfortable navigating technology with confidence. A proactive, organized, and bilingual professional will excel in this role while contributing meaningfully to the team’s daily operations.
• Monthly Compensation Range:1,150 to 1,220 USD
Responsibilities include, but are not limited to:
• Prepare and report key metrics to leadership
• Maintain updated records within FileVine and Leadducket
• Collaborate closely with the referral manager
• Support the current intake specialist in daily operational duties
• Utilize VOIP software for communication-related tasks
• Gather and record client feedback for internal tracking
• Perform accurate and timely data entry
• Ensure efficient document and information flow for the intake process
• Conduct follow-up calls with clients as needed
Requirements:
• 1 year experience working as an Intake Specialist
• Ability to work within the 6 to 15 time zone range
• Strong technology skills and comfort navigating multiple systems
• Experience or confidence working with CRM platforms
• Must be detail-oriented, organized, and comfortable handling data and client interactions
• Software and tools used:
• CRM: FileVine
• VOIP: VXT
• Lead management: Leadducket
Work Schedule: Monday-Friday
Expected call volumes: 6-15 calls daily
