Job Description:
As an Executive Assistant with Job Duck, you will play a vital role in keeping daily operations running smoothly while being a welcoming first point of contact for clients. This role is ideal for someone who enjoys wearing many hats and takes pride in supporting both clients and internal teams with care, accuracy, and professionalism. You will contribute directly to client experience, financial organization, and brand visibility through a blend of administrative, bookkeeping, and marketing support. Each day brings variety, problem solving opportunities, and the chance to make a meaningful impact. Candidates who thrive are service-minded, proactive, detail-oriented, and comfortable navigating established processes and systems.
Monthly compensation range: 1,150 to 1,220 USD
Responsibilities include, but are not limited to:
• Screen new clients and assist with onboarding and sign-ups
• Support front desk operations and serve as the first point of contact for clients
• Maintain and update client records in Clio systems
• Follow established scripts and internal procedures
• Schedule and post content across social media platforms
• Prepare and send monthly newsletters
• Support light marketing initiatives
• Input and track expenses in QuickBooks
• Assist with invoicing and light bookkeeping tasks
• Answer and manage incoming calls using VOIP systems
Requirements:
• 1 year experience as an Executive Assistant
• High attention to detail and accuracy
• Service-oriented mindset with genuine care for others
• Honest, respectful, and non-judgemental approach
• Sharp problem-solving and critical thinking abilities
• Proactive and efficient work style
• Strong organizational and time management skills
• Adaptability and comfort learning new systems
Work Schedule: Monday-Friday
Expected call volumes: 6-15
