Overview
Briones Business Law Consulting, P.C. is a boutique, non-litigation business law firm in Albuquerque, New Mexico, seeking a detail-oriented, proactive, and personable Legal Assistant to support attorneys with legal document preparation, matter management, filing coordination, client communication, and organized legal records. This role is ideal for someone dependable, adaptable, and solutions-driven who can manage multiple priorities in a fast-paced environment. Experience with Adobe, Microsoft Word, legal filing platforms, and case management or billing systems is highly preferred. Responsibilities
Client & Matter Communication:
- Communicate professionally with clients regarding active matters, document requests, deadlines, updates, and next steps.
- Coordinate with the Front Office Receptionist regarding new intakes, client materials, scheduling needs, and communication handoffs.
- Collect, organize, and maintain relevant legal materials, correspondence, and client information.
- Help attorneys manage client expectations by ensuring communications are timely, accurate, and properly documented.
Legal and Document Support (Core Focus):
- Assist attorneys with legal document preparation, including drafting, proofreading, editing, formatting, and filing.
- Prepare, review, and package legal documents for distribution while maintaining highly organized electronic and physical filing systems.
- Support business entity formations, including preparation and filing of formation documents and related state registrations.
- Manage and coordinate state and court filings, ensuring accuracy, timeliness, and compliance with applicable rules and procedures.
- Communicate with state agencies, courts, and other government entities regarding filings, statuses, and requirements.
- Draft closing file letters and maintain thorough filing of client correspondence and legal materials.
- Support the development and improvement of legal forms, templates, and internal procedures to enhance firm efficiency and consistency.
Attorney Support and Coordination:
- Manage attorneys' professional and personal calendars, including scheduling, reminders, and deadline coordination.
- Anticipate attorneys' needs to support client interactions, matter progress, and revenue generation.
- Proactively monitor assigned communications and determine appropriate next steps.
- Provide personal assistance to attorneys as needed and appropriate.
General Administrative Duties:
- Assist with maintaining professional office spaces, including the front desk, reception area, conference room, and shared work areas when needed.
- Prepare meeting materials, help manage office supplies, and assist with scanning, filing, mail, and other administrative tasks as needed.
- Provide assistance to team members, perform necessary errands, and support firm operations as needed.
- Perform other administrative duties as required to support attorneys, clients, legal assistants, and overall firm operations.
Qualifications
Experience & Skills:
- At least 3 years of experience in legal assistance, executive assistance, or comparable high-level administrative support.
- Strong command of legal assistant duties, professional document preparation, matter organization, and office administration.
- Proficiency with New Mexico legal filing software, Microsoft Office Suite, Adobe, legal billing software, and case or document management systems.
- Strong technical skills in drafting, proofreading, formatting, organizing, and managing professional and legal documents.
- Comfortable learning new systems, following established procedures, and helping improve workflows.
