Job Description:
Join Job Duck as a Bilingual Intake Specialist and play a key role in creating an exceptional first impression for prospective clients. In this position, you will be responsible for engaging with new leads, guiding them through the intake process, and ensuring every interaction is professional, empathetic, and well organized. You'll work closely with a legal team, manage client information, and help maintain a seamless qualification pipeline that supports the firm's continued growth. Monthly Compensation: 1,150 to 1,220 USD
Responsibilities include, but are not limited to:
• Identify opportunities to improve workflows and contribute to process efficiency
• Ensure all client interactions are handled with empathy, professionalism, and confidentiality
• Collaborate with the legal team to maintain an efficient intake process
• Coordinate communication through phone, email, and SMS platforms
• Reach out to prospective clients through outbound phone calls and follow up communications
• Request and follow up on retainer agreements and required documentation
• Maintain accurate records of client communications and follow up activities
• Organize client records and intake documentation
• Manage and maintain accurate information within the CRM
• Guide prospective clients through the intake and qualification process
• Respond to inquiries from potential clients in a professional and timely manner
• Track and manage the qualification pipeline
Requirements:
• Schedule: Monday through Friday, 7:00 AM to 4:00 PM EST
• Time Zone: Eastern Standard Time (EST)
• Industry: Criminal Defense Litigation
• Excellent verbal and written English communication skills required
• Previous experience in client intake, customer service, sales support, or legal administration is preferred
• Familiarity with legal intake processes is preferred
• Experience using CRM platforms is required
• Experience with Clio Grow, Clio Manage, and Intaker is highly preferred
• Experience working with VOIP systems such as Corvum is a plus
• Comfortable making outbound calls and following up with prospective clients
• Strong organizational and multitasking abilities
• Ability to work independently while managing multiple priorities
• Quick learner with strong technical aptitude
