Thompson Hine LLP, an AmLaw 200 firm, is currently seeking candidates for a full-time (37.5 hours/week) Legal Assistant in our Silicon Valley, California office. This is a brand new opportunity for a detail-oriented and proactive Legal Assistant to support transactional attorneys and the broader legal team in delivering high-quality legal services. The ideal candidate is organized, communicative, and adept at managing multiple priorities in a fast-paced environment.
This role involves case and matter management, document preparation and formatting, calendaring and deadlines tracking, client and stakeholder coordination, and administrative support to ensure efficient legal operations. Knowledge of court filings in both State and Federal Courts.
Key Responsibilities
- The Legal Assistant will manage day-to-day case workflows by organizing matter files, maintaining document management systems, and ensuring that all case materials are current and accessible.
- The role includes drafting, formatting, and proofreading legal documents such as correspondence, pleadings, motions, discovery requests and responses, contracts, and internal memoranda, in accordance with firm or department style guides and jurisdictional requirements.
- The Legal Assistant will coordinate filings in state and federal courts, including e-filing through applicable portals, and will track and confirm acceptance of filings.
- The position requires diligent calendaring of hearings, deadlines, discovery cutoffs, and other critical dates, with responsibility for sending reminders and coordinating scheduling with attorneys, clients, courts, and opposing counsel as needed.
- This role will support discovery by organizing document productions, maintaining privilege logs, coordinating with vendors for e-discovery tasks, and managing incoming and outgoing subpoenas and records requests.
- The Legal Assistant will conduct routine factual and legal research using tools such as court websites, public records databases, and legal research platforms under attorney supervision, and will assemble research results into clear summaries or reports.
- The Legal Assistant will handle client intake and communication logistics, including engagement letter preparation, conflict checks coordination, and routine client correspondence, ensuring professional, responsive experience.
- The position also encompasses billing and administrative tasks such as drafting time entries, assisting with invoice preparation and follow-up, processing expense reports, and maintaining attorney calendars and travel arrangements.
- As needed, the Legal Assistant will support hearing, deposition, and trial preparation, including creating binders or electronic sets, preparing exhibits and witness lists, coordinating court reporters or interpreters, and managing logistics to support attorneys in court or at proceedings.
- The Legal Assistant is expected to maintain strict confidentiality, adhere to ethical obligations, and follow firm or department policies, including records retention and data privacy procedures.
- This position requires advanced knowledge of litigation support including, but not limited to, an understanding of legal terminology, familiarity with court processes and procedures (state and federal), proper document formatting to auto-generate tables of authorities and contents (TOAs and TOCs), and assistance with discovery, deposition, and trial preparation.
REQUIRED QUALIFICATIONS:
- High school diploma or equivalent required.
- At least five (5) years of recent legal secretary experience including at least three (3) in a transactional practice area.
- Outstanding software skills, including proficient or advanced knowledge of Word, Excel, PowerPoint, PDF (Kofax), and Outlook.
- Exceptional communication, writing, and proofreading skills.
This position is eligible to participate in limited remote/in-office schedule upon successful completion of at least a 90-day training period.
Compensation is determined upon the market in which the position is located, the responsibilities of the position, the experience and skills of the applicant, and other job-related factors. The estimated salary range for this California position is $85,300 to $104,200.
