JOB DESCRIPTION
Our client, a well-established boutique New York City law firm with more than 35 years of continuous client service, has engaged our legal recruiting agency to identify a tech-savvy, experienced Legal Assistant to join its growing team. The firm is known for delivering sophisticated, large-firm caliber legal work while maintaining a collegial, professional, and supportive small-firm environment.
This role provides comprehensive administrative and secretarial support across multiple practice areas, including Litigation, Commercial Real Estate, and Corporate. It is an excellent opportunity for a flexible, adaptable legal professional who enjoys variety in their day-to-day responsibilities and can transition seamlessly between attorneys and practice groups based on workflow demands.
The Legal Assistant will support attorneys on an as-needed basis, helping to cover desk transitions, workload imbalances, absences, and ongoing projects. The ideal candidate brings strong organizational skills, advanced technical proficiency, and the ability to manage shifting priorities with professionalism and efficiency.
Key Responsibilities
Litigation Support
- Support attorneys through all phases of litigation, including discovery, motion practice, depositions, hearings, and trial preparation
- Prepare, edit, and format complex pleadings, briefs, and indexed filings, including Tables of Contents and Tables of Authorities
- Maintain electronic and physical case files in compliance with court and firm requirements
- Handle electronic filings in state and federal courts (NYSCEF, PACER/ECF)
Commercial Real Estate / Leasing Support
- Prepare, revise, and format commercial leases, amendments, assignments, SNDAs, and related transactional documents
- Coordinate execution of documents, including electronic signatures and notarizations
- Communicate professionally with landlords, tenants, brokers, and other transaction participants
- Maintain closing checklists and assist with assembling closing binders
Corporate Practice Support
- Draft and revise corporate documents such as operating agreements, shareholder agreements, engagement letters, resolutions, consents, and organizational minutes
- Assist with due diligence by organizing, indexing, and managing corporate records and closing documents
- Prepare execution versions of transaction documents and support corporate closings
Administrative & Cross-Practice Support
- Provide floating coverage across the firm, adjusting priorities daily based on attorney needs
- Draft, proofread, and edit correspondence, memoranda, and internal communications
- Coordinate meetings, conference room reservations, and Zoom/Teams calls
- Manage document production tasks including scanning, copying, and PDF creation
- Enter and edit time records, assist with pre-bills, billing letters, and monthly billing processes
Technical Skills
- Advanced proficiency in Microsoft Word, Outlook, and Excel, including complex formatting, redlining, styles, and numbering
- Experience with iManage Cloud or similar document management systems
- Familiarity with Practice Assistant, Workshare/Litera Compare, BigHand, Adobe Acrobat Pro, and online legal research tools preferred
- Strong skills in preparing complex documents using Word styles, TOCs, and TOAs
- Confident use of electronic court filing platforms (NYSCEF, PACER/ECF)
- Exceptional proofreading and document quality-control skills
- Willingness and ability to learn new technologies and firm systems
Experience Requirements
- Prior experience supporting attorneys in a litigation environment is required
- Experience supporting commercial real estate and/or corporate practices is strongly preferred
- Proven ability to manage multiple assignments simultaneously and pivot as priorities change
- Familiarity with legal terminology across litigation, real estate, and corporate matters
- NYS Notary Public preferred, or willingness to obtain notary status within three months of hire
Education
- Associate’s degree or higher preferred; equivalent professional experience will be considered
- Excellent written and verbal communication skills required, with strong attention to spelling, grammar, and punctuation
