Position Overview
Adams & Martin Group has partnered with a reputable mid-sized law firm to find a highly organized and detail-focused Legal Administrative Assistant. This role provides day-to-day administrative and practice support to a group of Trusts & Estates partners, with occasional assistance for Corporate and Real Estate attorneys. The position blends traditional legal administrative tasks with executive-assistant-level responsibilities, ensuring smooth operations across busy practices.
Responsibilities
Administrative & EA-Level Support
- Open and set up new matters, organize files, and maintain accurate internal records.
- Manage busy attorney calendars, including hearings, deadlines, client meetings, and internal appointments.
- Coordinate travel arrangements and prepare related itineraries.
- Prepare and process attorney time entries, expense reports, and other administrative documentation.
Document & Workflow Management
- Draft, edit, and proofread correspondence, engagement letters, agreements, and other legal documents.
- Format and prepare legal pleadings or transactional documents as needed.
- Handle electronic signatures (e.g., DocuSign) and ensure proper routing and completion.
- Upload, organize, and maintain documents within iManage or other document-management systems.
Client Interaction & Office Operations
- Serve as a professional, welcoming first point of contact for clients-both in person and by phone.
- Provide hospitality and conference-room coordination for meetings.
- Support facilities and office services tasks such as scanning, copying, printing, and mail distribution.
- Prepare outgoing mail, FedEx packages, and courier requests.
General Support
- Assist attorneys in meeting deadlines by tracking priorities, sending reminders, and managing multiple timelines.
- Communicate with clients, vendors, and opposing counsel as needed.
- Perform other administrative duties to ensure smooth office operations.
Qualifications
- Transactional law firm experience strongly preferred.
- Demonstrated ability to work with legal documents, formatting, and proofreading with high accuracy.
- Proficiency with Microsoft Office; familiarity with iManage, document-management systems, and legal technology tools.
- Ability to multitask, stay organized, and handle time-sensitive matters.
- Excellent communication and client service skills.
- Professional, dependable, and able to maintain strict confidentiality.
- High School Diploma or GED required.
Physical & Practical Requirements
- Ability to sit or stand for extended periods.
- Ability to lift up to 15 lbs. when needed (e.g., files, supply boxes).
- Comfortable working in a fast-paced environment with competing priorities.
- Willingness to work occasional overtime with approval.
Work Environment
This is a hybrid position requiring three days per week in the office. The work hours are Monday through Friday, with the expectation to occasionally work beyond standard hours with prior approval.
