Our client is a law firm. They seek a Legal Team Assistant to join their Manhattan, NY office.
Responsibilities
- Coordinate legal administrative support for attorneys and clients by reviewing, tracking, routing, and owning requests through completion while anticipating needs and meeting deadlines
- Prepare and edit legal documents, spreadsheets, blacklines, pleadings, filings, pro bono audit letters, and presentation materials, ensuring accuracy, formatting, and quality standards
- Partner with internal teams to deliver seamless administrative and document support
- Conduct competitive intelligence research and utilize machine learning tools to analyze language relevance, refine search parameters, and support business development databases
- Maintain complex electronic and paper filing systems, including NetDocuments, records management, archiving, security compliance, and client-specific requirements
- Process vendor invoices, expense reimbursements, disbursements, new business intake forms, and ongoing compliance with engagement letters and outside counsel guidelines
- Support billing activities by coordinating with the Billing Department and assisting with client bill preparation and accuracy checks
- Manage attorney calendars, contacts, meetings, court dates, conference logistics, and CRM/Business Development system updates
- Handle correspondence, phone calls, visitors, mail, messenger services, travel arrangements, itineraries, and expense reports
- Provide general administrative and case support, including special projects and additional duties as assigned
Requirements
- High school degree required; college degree preferred
- 2-5+ years of administrative or clerical support experience
- Experience in a professional services environment required
- Experience working effectively in changing team environments and the ability to work collaboratively
- Strong client service orientation
- Strong inter-personal skills
- Strong written and verbal communication skills
- Ability to work well under pressure and meet deadlines
- Ability to handle privileged, confidential, and sensitive information
- Strong computer/general database skills
- Willingness to learn new technology and software platforms
