Our client is a premier international law firm. They seek a Legal Team Assistant to join their Manhattan, NY office.
Responsibilities
- Collaborate with the team to deliver and coordinate legal administrative support; manage and route requests while ensuring quality and follow-up
- Anticipate attorney needs, plan, meet deadlines, and partner with internal departments
- Maintain accurate records in compliance with firm policies; apply records management and NetDocs standards
- Draft, edit, proofread, and format documents; support complex document preparation, filings, and presentations
- Research and compile information using databases; assist with document retrieval and data entry
- Organize and manage electronic and physical files; oversee filing, compliance, and records coordination
- Process invoices, expenses, and intake forms; ensure compliance with billing and outside counsel guidelines
- Support billing by preparing, reviewing, and tracking client invoices; ensure accuracy and timely submission
- Manage calendars, contacts, and meetings; coordinate logistics and maintain client records
- Provide administrative support by handling correspondence, calls, travel, and case documentation
- Pursue ongoing learning and stay current with firm technology and best practices
Requirements
- High school diploma or equivalent
- 3-6 years of experience in a secretarial or relevant experience
- Professional services industry experience required, legal industry is a plus
- Familiarity with legal documents and terminology
- Proactive and effective written and oral communication
- Self-starter with the ability to efficiently manage multiple matters at once
- Able to effectively prioritize and meet deadlines
- Excellent time-management and strong organizational skills
- Strong problem-solving skills and works effectively under the pressure of deadlines
- Proficiency with Microsoft Office programs
