Job Description:
This role is a key support position designed to help a growing legal practice operate more efficiently while delivering an excellent client experience. As an Executive Assistant with Job Duck, you will manage day-to-day administrative operations, keep communication organized, and ensure clients move smoothly through the intake and onboarding process.
Your work will directly impact the firm’s ability to focus on client delivery, legal work, and business development. This role is ideal for someone who enjoys bringing structure to busy environments, takes initiative without being asked, and approaches client interactions with empathy and professionalism. You will thrive if you are detail-oriented, proactive, and motivated by helping others succeed behind the scenes.
• Compensation Range: 1,060 USD to 1,150 USD
Responsibilities include, but are not limited to:
• Support client onboarding and manage the sales pipeline
• Perform ongoing data entry and administrative support tasks
• Conduct follow-up calls and emails to schedule meetings and obtain missing information
• Draft and send professional email responses on behalf of the firm and proof documents for grammar, formatting, accuracy, and client information
• Schedule meetings and coordinate calendars for attorneys and paralegals
• Respond to scheduling and pre-sales inquiries
• Follow up with clients to maintain strong relationships and smooth workflows
• Create, update, and maintain SOP documentation
• Answer, route, and respond to client phone calls, emails, and inquiries
• Assist with client offboarding and ensure matters are properly closed out
• Manage and organize email inboxes to ensure priority client communications are addressed promptly
• Send documents, engagement letters, and follow up to ensure signatures and payment completion
