Description of position:
The Legal Assistant/Paralegal (Employment) will provide administrative and paralegal support for attorneys on the employment team in the Legal Department. Pay range: $68,640 - $85,010/year. The option of working from home up to two days per week is offered, subject to occasional variation in business needs.
Responsibilities:
- Provides administrative support to employment counsel, including scheduling meetings, maintaining calendars, arranging travel, and preparing and submitting expense reports.
- Reviews, drafts, edits and delivers prompt responses to emails with Costco warehouses, ranging from Payroll Clerks to General Manager, and outside counsel; heavy communication contact also by telephone.
- Conducts intake interviews on legal matters under the guidance of employment counsel.
- Manages and maintain legal files and documentation related to employment matters, both electronically and in hard copy.
- Responds to requests for employment records and serves as primary contact for document collection for litigation, subpoenas, and audits.
- Coordinates with HR, operations, and outside counsel to gather information for legal matters.
- Tracks and monitor deadlines for, and assist with, legal training, litigation, and other related employment projects and matters.
- Assists with the implementation and maintenance of legal compliance systems and databases (for example: Legal Tracker and legal holds).
- Supports responses to agency inquiries and filings (for example: EEOC and DOL).
- Works on special projects as necessary, such as evaluating and implementing legal operations initiatives, modernizing internal processes or handling business escalations.
- Tracks compliance issues and follows up with responsible persons across several departments.
- Prepares correspondence, documents, and presentations; takes responsibility for proofreading, formatting, consistency, and accuracy on time-sensitive, high-profile documents.
- Provides billing and budgeting support as necessary.
- Assists in preparing and reviewing employment-related documents such as separation agreements.
- Addresses matters that do not require legal counsel's review and/or approval.
- Other duties as assigned.
Experience, Skills, Education & Licenses/Certifications
Required:
· Demonstrated and reliable ability to maintain confidentiality in all legal matters.
· Strong attention to detail and interpersonal skills with an emphasis on written and verbal communication.
· Well-organized, able to identify and prioritize tasks, excellent troubleshooting skills.
· Self-starter with good time-management skills and the ability to manage multiple priorities and projects in an extremely fast-paced environment.
· Positive and proactive attitude, high engagement, and a strong interest in learning.
· Demonstrated ability to be professional and congenial, and to adjust positively to changes in direction and/or assignment.
· Advanced skills using Microsoft Office, Google Suite, and Foxit PhantomPDF.
· Ability to make sound critical decisions and accept responsibility for those decisions.
· Relates well with a variety of personalities and individuals, both over the phone and in person.
· Demonstrated ability to quickly learn and become proficient with new skills.
· Desire to gain a working knowledge of Costco, its culture, and its people.
Recommended:
● Some familiarity with employment litigation.
● Experience with Thomson Reuters’ Legal Tracker preferred but not required.
● Some experience as a litigation legal secretary/legal assistant/paralegal in a law firm or in- house legal department.
● Some college preferred. Paralegal certificate a plus.
● High School Diploma or GED preferred.
● Prior experience working for or with Costco preferred.
