We're looking for an Administrative Coordinator to join our team. You'll be reporting to the Director of People & Communications, whose work spans plenty of things, and some that don't fit neatly into boxes. The other side of the role supports our Accounting Office, where the work looks a little different: more defined processes, clearer steps, less improvising. We need someone who can move comfortably between both, bringing structure where it's needed and flexibility where it isn't.

This role is a great fit for someone who's organized, adaptable, and genuinely enjoys helping things run smoothly behind the scenes.

Because this role touches sensitive personnel and financial information, we're looking for someone with real discretion and good judgment. But just as important, we want someone who brings a warm, friendly presence to the people they interact with, whether that's a new hire getting their first offer letter or someone on the phone helping with an accounting request.

What you'll be doing

Supporting our People & Communications team

Helping with hiring from start to finish: posting open roles, scheduling interviews, sending offer letters, and handling new hire paperwork
Keeping our applicant tracking system (ATS) and candidate records organized and up to date
Helping maintain accurate personnel records
Providing general administrative support wherever it's needed

Supporting our Accounting Office

Assisting with bookkeeping tasks and accounts payable functions, including vendor setup, processing payments to members and providers, and managing credit card receipts

What we're looking for

Someone with discretion. You'll regularly be trusted with sensitive personnel and financial information, so confidentiality and good judgment matter a lot here.
A friendly voice. Whether it's over the phone or on a Teams call, we want someone who makes people feel comfortable and taken care of.
Flexibility. Priorities will shift as needs come up, and we need someone who can roll with that easily.
An eye for detail. Especially when it comes to paperwork, records, and financial information.
Comfortable with everyday tech. You've used tools like Microsoft Outlook, Word, and Excel before, and you pick up new systems quickly (we'll train you on our specific tools, like our ATS and Bill.com).
Some exposure to office administration or bookkeeping is a plus, but not required. We're more interested in your judgment, reliability, and willingness to learn than a specific resume line.

A note on our remote setup

This role is 100% remote, but because you'll regularly handle sensitive personnel and financial information, we ask that you work set hours (rather than a fully flexible schedule) and have a private workspace where sensitive calls and information stay confidential, not a shared or public space.

What we offer:

Salary range: $60,000 – $65,000
20 days PTO annually
